Grant Volunteer Information
Broadwater Entry Sign and Landscaping Project
The $25,000 grant provided to the Broadwater Civic Association by the City of St. Petersburg for the Broadwater Entry Sign and Landscaping Project requires that residents benefitting from the grant earn some of the grant through contributing volunteer work equivalent to 940 hours. City representatives carefully monitor association activities to ensure the taxpayer’s funds are used appropriately.

Part of the City oversight includes collecting data verifying the volunteer hours have been delivered and appropriately accounted for. Reports to this effect are submitted to various City oversight groups, including the City Council and all data is open to public scrutiny.

There are two forms that the City requires in order that our volunteer work will qualify as hours that can be applied to the grant.

  • Hold Harmless for Grants Waiver Form (Click Here)—This form is a legal document prepared by the City to be signed by every person planning to provide volunteer hours of work under a grant BEFORE doing any of the work. The Agreement releases the City of St. Petersburg from any claim that might arise by way of your participation in the volunteer work effort. The Hold Harmless Agreements will be collected by your Block Captain and delivered to Mike Milvain for submission to the Neighborhood Partnership Department.
  • Volunteer Hours Tracking Form (Click Here)—We have produced the attached Volunteer Hours Tracking Form to enable you to easily record and submit your hours. Just click on the aqua colored areas to enter your data. Note: If you save this form to your internal drive on your computer you will be able to add to the form without submitting. When your form is filled or even if the form is not filled completely but it is the end of a quarter please email the form to Mike Milvain at: mmilvain@gmail.com

This data will be posted on the Broadwater website.

From time-to-time Mike Milvain will use the data you submit to prepare a summary report for each volunteer. Mike Milvain will deliver the summary reports for each volunteer having submitted hours to your Block Captain or other BCA representative for delivery to you for your signature. These reports, signed by you, confirm that you did, in fact, do the hours of work as described. Signed reports will be delivered to Mike Milvain and he will submit the signed report(s) to the City Neighborhood Partnership Department on the Department’s required schedule.

What Qualifies for Volunteer Hours?
The City is quite flexible as to activities that qualify. For our purposes we have identified the following activities as qualified for volunteer hours for our residents:

  • Look for and Remove Trash on Street
  • Look for and Remove Trash in Canals
  • Landscape Maintenance
  • Sign Maintenance
  • Custom (add specifics as to work done)
  • Hazardous Waste Pickup
  • CareFest

We have 2 years to accomplish the accumulation of 940 hours OR we will have to refund the equivalent balance at the rate of $20.00 per hour.
Here are some examples of how you might accumulate hours:
Street Cleanup—

  • While on your regular exercise walk or dog outing you are also looking for trash that you pick up and deposit it in a neighbor’s trash can along the way. Record the elapsed time of your walk on the Volunteer Hours Tracking Form.

Canal Cleanup—

  • You identify trash floating by your property and use a long handled tool to remove the object(s) from the canal and place them in your trash can. Record the elapsed time of your acivity on the Volunteer Hours Tracking Form.
  • You are enjoying a boat trip in our canals and looking to identify trash in the canal and remove the objects for disposal in your trash can. Record the elapsed time of your trip on the Volunteer Hours Tracking Form.
  • Form.

Landscape Maintenance—

  • You sign up for monthly landscape maintenance of the three Broadwater sign locations, removing trash, weeds and trimming. Record the elapsed time of your activity on the Volunteer Hours Tracking Form.
  • As you are riding your bicycle you notice someone has thrown trash into the landscaped area around the signs or along 46th Ave stopping to remove the object and disposing of it in your trash container. Record the elapsed time of your trip on the Volunteer Hours Tracking Form.

Sign Maintenance—

  • We determine the signs must be cleaned with soap and water. Record the elapsed time of the acdtivity on the Volunteer Hours Tracking Form.

Custom—

  • The BCA designates a particular activity as qualifying for “Volunteer Hours” and you participate. Record the elapsed time of your activity on the Volunteer Hours Tracking Form.

Hazardous Waste Pickup—

  • In preparation for the annual Hazardous Waste pick up day you go through your garage and collect obsolete paint, lawn chemicals, electronics, etc. and deliver them to the central pick up site. Record the elapsed time of your trip on the Volunteer Hours Tracking Form.
  • Over the course of the year you make a trip to the Pinellas County Solid Waste facility to deliver waste. Record the elapsed time of your trip on the Volunteer Hours Tracking Form.

CareFest—

  • You participate in the City of St. Petersburg’s annual CareFest project. The forms may be collected on the day of Carefest OR you may record the elapsed time of your activity online on the Volunteer Hours Tracking Form.
